Attendance Verification Process

Overview

To comply with Federal Aid requirements, Webster University is required to confirm student attendance during the drop period.

Attendance verification will be collected via the Student Success Portal, powered by Starfish, via a Progress Survey for on-ground and webnet+ courses.

Instructor Information

The Attendance Verification Survey will be distributed to all instructors teaching on-ground and WebNet+ courses in the United States. Online course attendance verification is completed through WorldClassRoom course access logs.

The Attendance Verification Survey will become available on the term/semester start date and remain open until 11 p.m. Central Time the Monday following the drop deadline for that term/semester. At the conclusion of the final course meeting during the drop period, the instructor should complete the Attendance Verification Survey.

The Survey Overview

Select one option per student on the survey:

  1. Attended Week 1 in Classroom
  2. Attended Week 1 from Home (WebNet+ at-home Section)
  3. Excused Week 1
  4. Did not attend Week 1. Student will be dropped.
    • This selection will trigger a flag to be raised in the Student Success Portal, powered by Starfish.
    • The flag will route to the Registrar’s Office where it will be processed within one business day.
    • The flag will auto-clear 24 hours after it is processed.

Instructor Communication

Instructor Communication is automated out of the Student Success Portal, powered by Starfish, and is as follows:

Accessing the Survey

  • Log into Connections (connections.webster.edu).
  • Click on Starfish – Student Success Portal.
  • Select the three lines/hamburger menu at the top left of the Starfish window.
  • Select the Progress Surveys tab.
    • There are four options – My Students, Tracking, Attendance, and Progress Surveys. Be sure to select Progress Surveys.

Taking Attendance vs. Attendance Verification

The Student Success Portal, powered by Starfish, also includes an attendance feature for instructors. The Attendance tab is not where Attendance Verification will be completed. The Attendance Verification Survey is located in the Progress Surveys tab. While faculty may set their own course attendance policy, there is not a University-wide attendance policy or reporting requirement. However, instructors are required to verify attendance via a one-time survey during Week 1, after their last class session has met and prior to the end of the drop period.

If a student is mistakenly dropped, an instructor can send an email from their Webster email to advising@webster.edu or registraroffice@webster.edu to request a student be re-added to the course. The course number, course section, student name, and student ID should be included in the email to facilitate a successful re-add.

If the term start is on a holiday the survey can be completed after the first class meeting, the Monday of week 2 since the survey will remain open until 11 p.m. Central Time the Monday following the drop deadline for that term/semester.

Student Information

The University reserves the right to drop students who do not attend or log into their class(es) the first week of the term/semester through the Attendance Verification Process.

If you receive a student communication that you will be dropped due to non-attendance and believe that this record is in error, you should discuss this concern with your instructor and advisor. To be re-added to the course, you will need to submit an add slip with both your instructor’s and advisor’s signatures to the Registrar’s Office. Alternatively, your instructor can submit an email to request a re-add to advising@webster.edu or registraroffice@webster.edu with your name, ID #, course, and course section information.

Advisor Information

Advisors may be the first point of contact when there is a questions or concern about a student being dropped from a course due to non-attendance via the Attendance Verification Survey. Advisors can review the student file in the Student Success Portal, powered by Starfish to see if a flag was raised. The flag is called, “Did not attend. Student will be dropped”. Advisors cannot assign or clear this flag. It will be auto-cleared 1 business day after the drop is processed in the Registrar’s office. Advisors can also utilize the Students—Tracking tab to filter for a list of the “Did not attend. Student will be dropped.” Flag for their advisees.

If the advisor is working with a student who believes their drop was done in error, the student will need to work with the instructor to seek permission to be re-enrolled. The instructor can email advising@webster.edu or registraroffice@webster.edu to approve a re-add.

To comply with Federal Aid requirements, Webster University requires that instructors complete attendance verification at the conclusion of the drop period for in-person and WebNet+ (synchronous online) courses. The Student Success Portal, powered by Starfish, makes the process of verifying attendance easy and efficient. The survey is available only during the drop period. It is expected that you will complete the survey within 24 hours of your last course meeting prior to the end of the drop period. You will only complete this survey once per course or section. Students marked for non-attendance will be dropped from your course by the Registrar's Office.

Within the Attendance Verification Survey, your course roster will display, and you will mark each student as one of the following:

  • Attended Week 1 in Classroom
  • Attended Week 1 from Home (WebNet+ at-home Section)
  • Excused Week 1
  • Did not attend Week 1. Student will be dropped.

Student Communication

This notification is to inform you that you will be administratively dropped from Introduction to Microbiology at Webster University. This action is being taken based on your non-attendance in this course during the drop period. Attendance verification during the drop period is required for the University to comply with Federal Aid requirements. If you believe this action is in error, you will need to obtain your instructor's and academic advisor's signatures on an add slip (http://www.webster.edu/advising/student-resources/student-forms.html) and submit the signed form to the Registrar's Office, to Academic Advising, or to your local campus immediately. Alternately, you may also ask your instructor to email registraroffice@webster.edu and advising@webster.edu from their Webster email account requesting that you be re-added to the course and listing your name and the relevant course and section.
