Welcome to Webster! We’re glad that you’re considering our St. Louis campuses as potential venues for your function. Before you get started, please familiarize yourself with the basics of planning an event at Webster, including a definition of an "external group," event policies, and space priorities.

DEFINITIONS

Your group is considered an "external group" if your meeting or event is planned, hosted, or sponsored by any individual or group outside the University, such as a business or vendor, church group, youth group, a community group such as Lions, Rotary, Optimists, or a public or private school.

In addition to meetings and other group events, Webster facilities may be used for personal events for individuals (including Webster University employees and alumni), such as:

  1. weddings
  2. receptions
  3. family reunions
  4. parties and celebrations
  5. meetings and workshops

POLICIES

All University space on the main campus for external events and personal events, such as weddings, parties and celebrations, family reunions, etc. will only be made available during the months of June, July and the first two weeks of August.

At no time will space be rented to groups offering classes or course work to the general public, whether free of charge or at a fee, i.e., business and management seminars, estate planning seminars, personal finance seminars, self-esteem workshops, etc. Space will not be available for non-Webster University course work to avoid any confusion or questions in the minds of the public about the quality of the classes and their association with Webster University.

Full rental charges and related costs will be paid by the organizers of all political rallies, fund-raising parties or receptions to avoid the perception that the University is endorsing the featured candidate or issue.

No organization or individual renting space on Webster University campuses for non-University events may use the words Webster University, any Webster University symbols or printed marks, or even imply Webster University endorsement or co-sponsorship of their event. The words "Webster University" may only be used as part of the address or as a location designation. Click here for additional rental policies and procedures.

SPACE PRIORITIES

Space will be made available for special events in the order listed below, with first consideration given to events open to the entire University community and the general public. Student activities are given highest priority in the University Center. Contact Jennifer Violett for detailed information on University Center priority scheduling. Early space requests are encouraged for all locations. Last-minute requests will not displace previously scheduled and contracted events, even those of less priority.

EVENT PLANNING SERVICES

Webster University does not have a centralized conference office or event planning staff. Individuals or groups must arrange for their own event facilities and services. To assist you, this Web site provides links to the resources you'll need to plan a successful and special event.
