Reservation Requests
Meeting room reservations may be made by completing the Reservation Request Form and submitting it to Katie Knetzer, Assistant Director of Housing and Residential Life. Her office is located in the Webster Village Apartments Clubhouse (520 Garden Avenue, St. Louis, MO 63119). Her email is mccombka@webster.edu, phone is (314) 246-2031, and fax is (314) 246-2788.
Three rooms are available to reserve within Housing and Residential Life. These spaces include the West Hall Multipurpose Room (MPR), West Hall Classroom (CLR), and Webster Village Apartments (WVA) Clubhouse. See below for a description of these spaces.
Reservation Requirements:
The West Hall Multipurpose Room (MPR), West Hall Classroom (CLR), and Webster Village
Apartments (WVA) Clubhouse may be reserved by Webster University departments and student
groups for meetings, programs, and other university business. In addition, current
Webster Village Apartments residents may reserve the WVA Clubhouse, whether or not
they are affiliated with a sponsoring department or group.
There is no fee to reserve these spaces if you fall into the abovementioned categories.
However, if the rules and regulations of using the space are not followed, charges
will be placed on the department/student group/student account by the Office of Housing
and Residential Life.
If a Webster University student, staff, or faculty member wishes to use a space without
having a sponsoring department/group, he/she must pay a deposit and rental fee to
use the space. In addition, individuals that are not affiliated with the university
(including camp and conference groups) will be charged these fees.
- $50 deposit (which will go towards cleaning/damage charges, if applicable, or the room rental fee)
- $40 per hour to use the space
The CLR cannot be reserved for parties or social events; those kinds of activities should take place in the WVA Clubhouse or the MPR. The CLR should be reserved for general meeting or presentation purposes only. Further, the CLR is used as a classroom space during the academic year and therefore has limited availability.
Reservation requests must be made no later than 2 business days prior to the function. All regulations stated within the Reservation Request Form must be abided by; violations may result in immediate event termination and fines.
Available Spaces
West Hall Multipurpose Room
The West Hall Multipurpose Room is a multi-purpose space used for meetings, small
lectures, luncheons, social events, and other activities. It can be arranged in a
wide variety of set-ups, with a maximum capacity of 50. It also has a dry erase marker
board, and there is a refrigerator in an adjoining room.

West Hall Classroom
The West Hall Classroom can be used for classes, meetings, and lectures. It can be
arranged in the following set-ups: classroom, lecture, u-shape, and open square. It
has a maximum capacity of 50. The room has a media stand that includes the following:
PC and Mac computers, built-in projector and screen, and DVD/VHS player. It also has
a dry erase marker board.

Webster Village Apartments Clubhouse
The Webster Village Apartments Clubhouse can be used for meetings, social events,
and other activities. The room contains several couches, armchairs, tables, and chairs,
and we do not accept room set-up requests for the space. If you rearrange furniture
for your event, you are expected to return it to its original position. The clubhouse
has a maximum capacity of 35. Please note that we do not accept reservations for
the pool area outside the clubhouse--WVA residents are free to come and go as they
please within the pool area, whether or not another group is using the clubhouse.
The clubhouse has a kitchenette with refrigerator and microwave, flat-screen TV, DVD/VHS
player, and stereo.
