| During
this course I will give you a series of hands-on assignments to better
familiarize you with some of the lesser known features of your PC
and of some common software packages. This is one of those assignments.
Initially, I requested the same information on my ITM 5000 Survey Form.
However, I then had to manually enter this information into Outlook.
This procedure allows me to not only streamline the process but to also
give most of you the opportunity to learn something new.
Periodically, I
will send e-mail messages to the class. The following procedure will
allow me to import key Contact information about you directly into my
Contact List in Microsoft Outlook.
Most PC users do
not see the need to add Contact information about themselves to their
Contact List. After completing this assignment, perhaps you will see
that it can serve a very useful purpose.

RETRIEVE A vCARD
SPECIAL
NOTE: In order for this procedure to work, you must be using
Internet Explorer as your active browser. If you are using Netscape, the
vCard contents will (unfortunately) be displayed as plain text. To use Internet
Explorer (IE) for this exercise, go to your START menu, find Internet
Explorer in the menu, and click on it. If a dialog box asks you if you
want to make IE your default browser, you should click on NO. This will
still retain Netscape as your default browser. This
portion of the exercise was intended to facilitate adding my Contact
information to your Address Book for use during the
semester. Netscape users can manually enter my info (or cut-and-paste it
if they prefer).
If you use Microsoft Outlook (or
Outlook Express) as your
e-mail program (or a program that can import vCards), click
on the following link John
Kozlowski vCard.
My Contact information should now
appear on your monitor. Click on CLOSE AND SAVE
in the upper left-hand corner of the dialog box. This will add my e-mail
address and other data elements to your Contact list in Microsoft
Outlook or Outlook Express.
Whenever you need to send me an e-mail
message (like when you submit the vCard you are going to create below), you can simply enter KOZLOWSKI (or even KOZL) into the TO box
in Outlook and press the TAB key. Your e-mail program should automatically look up
my address and complete the entry. You will get to use this feature when
you complete the vCard procedure below.

CREATE A vCARD
The following steps
apply specifically to Microsoft Outlook.
NOTE: If
you use AOL or some other Internet service that does not allow you to
interface with MS Outlook, then send me an e-mail message with the data
fields outlined in the procedure above. Make sure that you label each
field. For example, FULL NAME: enter your first and last name. On the next
line enter Job Title and fill in the appropriate description. Repeat until
all of the entries are completed.
If you use Outlook
Express instead of Microsoft Outlook, open Outlook Express, click on HELP,
then CONTENTS AND INDEX in the menu bar. Click on the Index tab and enter
"vCard" in the search box. Then follow the instructions that are
displayed.
- Open Microsoft Outlook. Click on CONTACTS.
- Click on the NEW
button in the menu bar. (Or click on FILE, NEW,
then CONTACT).
- Click on the FULL
NAME button. Fill in your First and Last name. Click OK
when you are done.
- Go to the JOB
TITLE text box and enter your job description.
- Go to COMPANY
and enter your employer. (Air Force personnel should enter USAF. Other DOD
personnel should enter info such as US Army, US Navy, etc.). If you want
to include your organization mail code as well, you can do that in
parentheses after the military branch (i.e., USAF (HQAMC/LGP).
- Below the ADDRESS button there is a
down-arrow button that allows your to toggle between HOME, BUSINESS, and
OTHER. Select HOME.
- Click on the ADDRESS
button and enter your home address. This information comes in handy should I
need to correspond with you for some reason (such as make-up work in
the event of an extended illness or TDY assignment). Click OK
when you have finished entering your information.
- Go to the BUSINESS
text box and enter your office telephone number. Make sure that you
include your area code. (i.e., 618-235-0000). This info will be used in
case I ever have to contact you during the semester. (Entering your home
telephone number is optional.)
- Move down to the E-MAIL
text box and enter the e-mail address you want me to use whenever I send COMP
5000-related correspondence. In case I ever have an emergency and need to
cancel class some night, I will send your an e-mail message so you do not
have to make an unnecessary trip to class. I recommend that you use your work
e-mail address since you are likely to check it more frequently than your home e-mail
address.
- Click on the DOWN-ARROW
button next to E-Mail and Select E-MAIL 2.
If you initially entered your Work e-mail address, then enter your Home
e-mail address here. (If you entered Home previously, enter Work here).
Press the TAB key to record your
entry.
- Click on SAVE
AND CLOSE in the upper left-hand corner of the dialog box.

Click on the Contact you just created so
that your name is now highlighted. Double-click.
- When your info is displayed, go to the menu bar.
Click on ACTIONS. and then select FORWARD
AS vCARD. A blank e-mail message screen should now appear. In the TO
box, enter KOZLOWSKI (or KOZLO) and press the
TAB key on your keyboard. If
you have already added my vCard to your Contact List, my e-mail address
should be automatically retrieved. The SUBJECT line of the message should
appear with your Contact name automatically filled in.
NOTE: If the FORWARD AS vCARD option
does not appear, you may have to expand the menu by clicking on the
downward pointing arrows at the bottom of the menu.
- Now press the SEND button in the upper
left-hand portion of your screen to complete the procedure. You do not
need to enter anything in the body of the e-mail message unless you want
to include a message for me.
That's it. When I receive
your vCard, I will be able to import it directly into my Contact list and
add you to the ITM 5000 Distribution list. And you now have the ability
to share your Contact information with others with only a few clicks of
your mouse button.
